The warning signs that your tools are costing more time than they save, and what to fix first.
Finance stacks grow one tool at a time. Each made sense when you bought it. Together they can turn a two-day close into a fortnight. These are the signs we see most often.
1. Someone exports a CSV every Monday
If a person moves data between two systems on a schedule, that is a missing integration with a salary.
2. Nobody trusts the cash number
When the bank balance, the accounting balance and the dashboard all disagree, people stop looking at any of them. One reconciled number fixes more meetings than any report.
3. Month-end depends on one person
If the close cannot happen while one person is on holiday, the process lives in their head. Write it down, then automate the parts that repeat.
4. Forecasts start from last year’s budget
A forecast built from hopes drifts away from reality within weeks. Build from actuals and compare every month.
5. Approvals happen in forwarded emails
When bills are approved by replying to a chain, the audit trail is a search box. Approvals should be one tap, logged, and tied to the bill.
What to fix first
Start with the cash number. Once everyone trusts the balance, every other fix gets easier to argue for.
