A practical checklist for small finance teams who want month-end to take days, not a fortnight.
Most small teams lose month-end to the same three things: waiting for statements, matching payments by hand, and chasing the people who still have receipts in their pockets. None of these needs a person in the loop every time.
Start the close on day one
Reconcile daily, not monthly. When bank feeds land every few minutes and matching happens as payments clear, the last day of the month is just another day. The close becomes a review of exceptions rather than a pile of work.
Agree a cut-off and stick to it
Pick a time on the first working day when the books lock. Anything that arrives later goes into next month with a note. A fixed cut-off does more for speed than any tool.
Chase receipts as they happen
Ask for the receipt when the card is used, not three weeks later. A short message in team chat with a photo reply gets most of them back the same day.
Review exceptions, not everything
Sort transactions by confidence. Spend your time on the handful the system was unsure about, and spot check a sample of the rest. Your accountant will thank you for the audit trail.
Write the narrative last
Once the numbers settle, write down what moved, why, and what you expect next month. Keep it to one page.
