Ostler Kitchen Co · Hospitality, 6 sites

Ostler Kitchen Co runs six restaurants across Leeds and York. Before the switch, month-end meant eleven days of exporting till reports, matching card payouts by hand and chasing receipts from six head chefs.

The problem

Each site banked separately, two used a different till system, and supplier invoices arrived by post, email and occasionally on the back of a delivery note. The finance team of two spent the first fortnight of every month catching up on the last one.

What changed

All six bank accounts and both card processors now feed one ledger. Card payouts split automatically into sales, fees and refunds. Supplier bills are forwarded to a single inbox and coded by the agent, and head chefs approve anything over £500 from team chat.

In the first week the agent flagged a produce supplier charging two sites twice for the same delivery. Over the quarter that came to £8,400, refunded in full.

The result

The close now takes two days, and most of that is review. The agent drafts the board pack and Priya edits it. The team has replaced three tools and stopped hiring for a third finance role.

"We closed the month in 2 days instead of 11. The AI agent literally drafted my board narrative."
